Nonresidents of the U.S. should extend their work authorization well in advance of the current expiration date to ensure continuous employment eligibility. The table below provides a timeframe by visa type of when you should start the extension process and who you should coordinate with. Following these timeframes will ensure that the department, UW and USCIS has sufficient time for processing purposes so that you will receive an extension on your work authorization documents BEFORE it expires.

*Important If you are extending work authorization AND this is the first time you are applying for this visa type, please allow at least 12 months for the initial visa petition.

How to Extend Work Authorization

  1. Use the table above to determine when you should start the extension process and who you should coordinate with based on the type of visa you hold. The coordinator will provide you detailed information on what to do, or what they need from you in order to get the extension process going.
  2. Meanwhile, Central UW Payroll Office will send out 90 day, 60 day, 30 day notices to the employee and employer reminding everyone of the employee’s expiring work authorization and requiring action to confirm revised work authorization dates through Form I-9.
  3. As soon as you receive an extension on your work authorization, bring in the following documents to EE Payroll so that your employment eligibility can be re-verified through section 3 of Form I-9:
    • Documentation of work authorization approval with new expiration dates (i.e. your I-20, DS-2019, EAC, or H1B approval notice)
    • I-94 card

    NOTE These reminder notices will discontinue as soon as an updated Form I-9 is turned in and UW Payroll has updated the work authorization end date in the payroll system. If the employee cannot show valid work authorization in time, UW Payroll notifies Human Resources and the department three days after an employee’s work authorization expires to suspend the employee’s employment. The employee cannot return to work until a new I-9 is completed.
