The University of Washington recognizes that faculty, librarians, and academic staff are experts in their chosen fields and are often offered consulting and professional opportunities for compensation beyond their UW employment.

This summary is intended to provide compliance guidance, but does not modify or supercede the obligations and responsibilities required in the policy.
Approval for Compensated Activities and Reporting
Faculty, librarians, and academic staff may consult and do professional work for compensation outside of the University within certain guidelines:
- Complete and submit a Request for Approval
- Outside work for compensation may not be allowed for persons on nonimmigrant visas. Please consult with the International Scholars Office.
- Completed request is Approved by the Department Chair, then the Dean/Chancellor, then the Provost
- Outside work, while on the UW payroll, is:
- Less than 13 calendar days/academic quarter, and
- The average is less than or equal to 1 day/7 day week.
- Regularly scheduled teaching or other UW work assignments are not impacted
- Summarize annually all activities on the Annual Report
Not everything you do outside of the University requires approval, although most activities should be reported annually on the Annual Report. These activities may fall under the Exclusion, however, filing the Request for Approval allows the faculty member to inform the department and provides the faculty member with a record keeping mechanism for reporting activities on the Annual Report:
- nonprofit professional associations and societies,
- to contribute their expertise to scholarly, editorial, and advisory bodies including governmental bodies related to their academic work,
- and to serve on public commissions or boards of philanthropic organizations.
Faculty are encouraged to accept invitations by nonprofit organizations, colleges and universities, and governmental agencies to present guest lectures, deliver papers, serve on review panels and participate in accreditation activities. Honoraria may be received and you are not subject to obtaining prior approval, but you still need to report annually on the Annual Report.
Prior approval is required if you will be teaching credit courses or participating in continuing education activities outside of the University of Washington.
UW facilities/equipment/resources are NOT available for use in your outside work. The University’s Policy on Personal Use of University Facilities, Computers, and Equipment by University Employees is available in Administrative Policy Statements, 47.2
Doing work for compensation outside of the University is acceptable if you
- obtain prior approval;
- eport annually; and
- void completely, using UW facilities/equipment/resources;
Procedure:
- Complete, as needed, the Request for Approval of Outside Professional Work for Compensation for each specific activity before you do it;
- Complete annually the Annual Report of Outside Activities summarizing your activities. All faculty are required to complete this form, whereas librarians, and staff only report if needed.
Conflicts of Interest
The University’s philosophy on conflict of interest is none of its faculty shall engage in any activities that place them in a conflict of interest between their official activities and any other interest or obligation.
The University recognizes the increasing and vital involvement faculty experience with commercial enterprise and the increased potential for conflict of interest. Prior to getting involved, submit a Request for Approval to inform the University of your activities and to obtain approval. The University’s perspective is not to inhibit your activities but rather to ensure compliance with applicable State laws and regulations.
